For documents to be scanned there is a technique to preparing the documents. Once the documents have been received, they are then seperated from fasteners, staples, corners are straightened and any smaller items are taped to seperate sheet of paper. These are all crucial steps for a clean and great quality image.

The next step in preparing your documents for scanning is determining the index fields, which will help you in finding documents by keywords. For example, a doctors office may need to index patient name, date of birth, medical record number or social security number.

The last step in preparartion of scanning documents, will be choosing your software platform or archive storage system. This is usually based on the customers preference as well as the technology requirements of the business.

Beware Cheap Scanning Quotes…You Get What You Pay For!

Document storage and retrieval systems have become very popular. Businesses buy them to save money by eliminating the time that employees use looking for documents. After completing a scanning project, many people are disappointed to find that accessing documents online isn’t as good as seeing the hard copy.

The whole purpose of scanning documents is to be able to see them on the computer at least as well as you could if you were holding them in your hand. This only happens if the process of scanning is completed correctly. As you might imagine, when it comes to document scanning, the old adage of “you get what you pay for” is especially true.

Grant to Fund Document Management and Scanning in Chicago

Healthcare organizations that have their main address inside the city limits of Chicago can take advantage of the Prince’s Trust Charitable Fund to pay for document management in their medical facilities. (This is not the same one that is run by  Prince Harry or his father. It was started by a man in Chicago whose name was Prince.  Their web address is : http://foundationcenter.org/grantmaker/prince/chicago.html

According to the Areas of Interest section of the website http://foundationcenter.org/grantmaker/prince/health.html it is designed for improvements to the organization that improve the morale of the staff.

It has been used by a long list of health care entities in Chicago including Northwestern Memorial Hospital,  Rush Medical Center and PCC Wellness. PCC  is a privately owned community health care system with 7 clinics around the near west area of Chicago. They are presently using funds from it to finance an enterprise wide document management and scanning program which when conpleted will  make all of their medical records accessible electronically.

Hi-Tech Act Promises Refunds for Doctors

Legislation by the Federal government provides for a credit of up to $64,000 for doctors that implement a document management system

Doctors should be sure to purchase a system that is certified.  Failure to do means that the Doctor won’t get a credit.

A hurdle many doctors face is the process of scanning all the old and current patient files to make them images and useable by the new software.

Doctors will find a variety of companies that provide both the imaging, software and expertise to implement these new systems.
